<p>This role is supporting three Asset Managers and two Analysts</p>
<p>SUMMARY OF DUTIES</p>
<p>· Arranging meetings via outlook including inviting external guests and liaising with other secretaries.<br />
· Typing reports, documents and letters. <br />
· Maintaining contacts - ensuring contact details are kept up-to-date.<br />
· Answering telephone calls and dealing with them accordingly.<br />
· Managing internal filing system for the department.<br />
· Assisting in day-to-day matters and giving general support where needed.<br />
· Logging invoices and following procedure to ensure payment.<br />
· Executing legal documents and maintaining a record.<br />
· Preparing and amending slide presentations.</p>
<p>· Experience of working in a similar secretarial/admin role.<br />
· Must have an excellent attention to detail and accuracy.<br />
· Flexibility - must be able to deal with different levels of workload<br />
· Must have advanced knowledge of MS Word, Outlook with basic Powerpoint and Excel.<br />
· Must be able to self manage and prioritise own workload.<br />
· Must have good written and oral communication skills.<br />
· Must be a good team player.<br />
· Must possess reasonable numeracy skills.<br />

<p>My client seeks an intelligent and energetic Events Manager, reporting to the Senior Events Manager. The main purpose of the role is the management, planning and execution of conferences and events, incorporating project management, operational planning, logistics and liaison with internal and external departments. The Event team works alongside the Exhibition team who are responsible for the delivery of the exhibition elements of their events.</p>
<p>This role is slightly different from standard Event Manager positions as the candidate is required to take overall project management of events rather than just pure operational responsibility.</p>
<p><span id="more-568"></span></p>
<p>These events are LARGE SCALE and GLOBAL. You must have experience in working in an international field.</p>
<p>Main responsibilities include, but are not limited to,:</p>
<p>Project managing all elements of an event including standard event planning and liaising with internal suppliers</p>
<p>Project plans and critical paths for each event, with clear financial and operational milestones highlighted.</p>
<p>Supplier management</p>
<p>Internal seminars/meetings, signage, gala dinners and Awards.</p>
<p>Risk Assessments</p>
<p>Financial management budget management including management of tenders, quotes, purchase orders and invoice payment.</p>
<p>Operational management</p>
<p>Assistance: The Conference Business/Event Department is extremely busy constantly working to tight deadlines and embarking on new projects. Under the direction of the Head of Events and the Operations Director, this person will be required to provide additional assistance on other project components as  required</p>
<p>Resource management:  Junior Event Managers and/or temporary staff as required.</p>
<p>Your experience:</p>
<p>Considerable experience in an Operations role, focussing on event management (to include, but not limited to, conferences, seminars, awards and gala dinners) within a commercial environment.</p>
<p>* Must have experience in International Events (including conferences, congresses, seminars and/or awards programmes)</p>
<p>* Strong event project management is an essential requirement, including the preparation of project plans and the ability to plan and execute a number of events/activities simultaneously.</p>
<p>* Excellent interpersonal skills, and solid experience of working with people across multiple offices, preferably across different locations. Flexibility to take on and assist in team members&#8217; projects during periods of pressure is essential.</p>
<p>* Comprehensive budget management experience, in particular management of large budgets, with excellent working knowledge of MS Excel * Contract negotiation and supplier management experience.</p>
<p>* Must be able to work under pressure and to tight deadlines</p>
<p>* Superior verbal, written presentation skills and the ability to effectively communicate with all levels of employees, customers, vendors across international boundaries.</p>
<p>* Cultural awareness within the different markets</p>
<p>* Be proficient (intermediate level or above) in the use of Microsoft Word, Excel, Outlook and PowerPoint<br />
